Protecting your privacy is very important to RCVS Knowledge. This policy describes how RCVS Knowledge collects and uses personal information about people who visit our website. The terms of this statement may change, so please check it from time to time.
The information we collect
Information is collected from you when you contribute to or use some of the features on the website. The information we collect is clearly set out on the web page on which we collect it. See for example our Library membership application form or our Sponsorship pack request form.
We obtain personal information from you when you enquire about our library services and membership, our grant activities, register with us, make a donation to us, support appeals and campaigns, or otherwise provide us with personal information.
The personal information we collect may include your name, address, telephone number, e-address, renewal detail(s), date of birth, as well as your credit or debit card number and expiry date.
Why we collect it
We may collect information about you so that we can assist your use of the website and improve the website generally. We may also collect data if you apply for a grant, make a donation, subscribe to e-News, pay an RCVS Knowledge Library invoice or pay for Library membership, complete our feedback form or enquiry form, among others.
The information you supply may be used by us for library membership, grant administration, fundraising activities, customer research and to keep you informed by post, telephone, e-mail or other means.
We also gather general information about the use of our website, such as which pages users visit most often and which services, activities or events are of most interest. We may also track which pages users visit when they click on links in RCVS Knowledge emails. We may use this information to personalise the way our website is presented when users visit it, to make improvements to our website and to ensure we provide the best service for users. Wherever possible we use aggregated or anonymous information which does not identify individual visitors to our websites.
How we will use or process information about you
In using and submitting forms on this website you agree that RCVS Knowledge may use any personal data of yours that you supply through the forms. RCVS Knowledge respects your privacy and seeks to protect your personal data:
- RCVS Knowledge will only collect and use your information to administer, support, improve and obtain feedback on its services.
- RCVS Knowledge may also use this information to assess what Trust products and services may be of interest to you and to personalise our service and marketing.

- RCVS Knowledge will not disclose your personal data to any other organisations without your permission.

- Retain details of your application on our files.
- Provide you with the services, products or information you have requested.
- Create an account for you if you register with us.
- Send you our regular newsletter(s), RCVS Knowledge e-News and Library e-News.
- Further our charitable aims, including for fundraising activities.

We invite feedback from you about the website and, from time to time, we may use the website to carry out electronic consultation exercises. If you send comments to us via the website we will collect your comments and your contact details for the purpose of the consultation concerned.

Accessing and updating your personal information
You may request a copy of personal information we have about you (whether collected through this website or otherwise). If it is incorrect we will correct it as soon as we receive appropriate notice or evidence from you in writing. In accordance with section 7 of the Data Protection Act 1998 requests should be made in writing and we may make a charge of no more than £10 for each request. Parts of http://www.rcvsknowledge.org/ and our billing process (which is transacted via Sage Pay) are automatic and we may process your personal data as part of http://www.rcvsknowledge.org/ and the billing process.
Keeping information about you secure is very important to us and certain sections of the website may encrypt data using SSL or a comparable standard. Credit card information is handled by Sage Pay and is not stored on the RCVS Knowledge website. However, no data transmission over the Internet can be guaranteed to be totally secure. As a result, whilst we strive to protect your personal information, we cannot ensure or warrant the security of any information which you send to us, and you do so at your own risk.
Any credit card information supplied on the forms is used to process payment only and the details are destroyed once payment has been confirmed. Credit card information is not held on our database and hard copy credit card information is shredded securely and confidentially.
Users under 16
If you are aged under 16, please ensure you obtain your parent/guardian's consent before sending any personal information to this website. Please note that RCVS Knowledge will not accept orders for goods from persons aged under 16 years.
